Vanguard Environmental Services respects your privacy. This policy explains how we collect, use, disclose, retain and protect personal information.

Vanguard Environmental Services (“Vanguard,” “we,” “us,” or “our”), a trade name of Tennessee Trauma & Casualty, LLC, respects your privacy. This Privacy Policy applies when you visit vanguardenvironmentalintl.com, request or receive services, communicate with us, submit photographs or property information, make a payment or receive marketing communications.

It does not apply to information governed by a separate written notice or agreement, or to third-party websites and services that we do not control.

1. Personal Information We Collect

Depending on how you interact with us, we may collect:

  • Identifiers and contact information, including your name, mailing or service address, email address, telephone number and customer identifiers.
  • Service and property information, including property location and condition, inspection or remediation concerns, appointment details, estimates, work orders and project notes.
  • Photographs, video and documents you provide, including images of affected areas, building conditions or personal property visible in submitted media.
  • Communications, including email, text messages, web-form submissions, customer-service notes, voicemail and telephone-call recordings when recording is used and notice is provided.
  • Transaction and payment information, such as billing address, payment status and invoice details. Payment card information may be collected directly by our processor; Vanguard does not intend to retain full card numbers or security codes.
  • Device and usage information, such as IP address, browser and device type, operating system, referring pages, pages viewed, approximate location derived from IP address and timestamps.
  • Marketing and preference information, including communication preferences, consent records and campaign responses.
  • Inferences reasonably created from the information above, such as service needs, customer status or security indicators.
Please do not submit medical records, Social Security numbers, financial-account credentials or photographs containing unrelated sensitive information unless we specifically request it and provide an appropriate secure method.

2. Sources of Personal Information

We may collect personal information directly from you, household members, property owners or authorized representatives; automatically through our website and communications systems; from service providers, payment processors, scheduling or customer-management platforms, analytics and communications vendors; from contractors, insurers, property managers or other parties involved in a requested service; and from lawful public sources when reasonably necessary.

3. How We Use Personal Information

  • Respond to inquiries, schedule assessments, prepare estimates, provide requested environmental services and communicate about a project.
  • Process payments, issue invoices, maintain transaction records and prevent fraud.
  • Document property conditions, work performed, quality control, safety, warranty matters, disputes and insurance or legal requirements.
  • Operate, secure, maintain, troubleshoot and improve our website, systems and customer experience.
  • Send service-related communications about appointments, projects, accounts, safety and payments.
  • Send marketing communications when permitted by law and consistent with your choices.
  • Comply with law, respond to lawful process, enforce agreements and protect rights, property, health or safety.

We seek to collect and use information that is reasonably necessary and proportionate to these purposes.

4. Photographs and Property Information

Property photographs and related documentation may incidentally reveal people, possessions, addresses, health or safety conditions or other private details. We use this material to evaluate requests, scope and document work, communicate with authorized project participants, support billing or insurance matters, train personnel on a limited need-to-know basis and establish or defend legal claims.

We do not use identifiable customer or property photographs in advertising, public case studies, social media or testimonials without separate permission, unless the material has been de-identified.

5. Call Recording and Communications

We may monitor or record calls for quality assurance, training, documentation, safety and dispute resolution. When a call may be recorded, we will provide notice at or near the beginning where required or appropriate. By continuing after notice, you consent to recording to the extent permitted by law. If you do not wish to be recorded, tell us and we will use a reasonable alternative when available.

Telephone and text-message consent is not a condition of purchasing services unless communication is necessary to provide the service requested. Message and data rates may apply.

6. Email and Text Marketing

We may send promotional email or text messages when requested, consented to where required or otherwise permitted by law. Marketing emails include an unsubscribe method. You may opt out of marketing texts by replying STOP. Opting out of marketing does not prevent service-related communications about an active request, appointment, transaction, safety issue or service relationship.

7. How We Disclose Personal Information

We may disclose information to service providers that support hosting, customer management, scheduling, communications, analytics, secure storage, payment processing, accounting, marketing, information technology and professional services; to contractors, laboratories, consultants, insurers, adjusters, property managers or project participants when reasonably necessary; to authorities or courts when required by law; in connection with a business transaction; or to other parties at your direction or with your consent.

We do not sell personal information for monetary consideration. We do not use or disclose personal information for cross-context behavioral or targeted advertising unless we first provide any notice and opt-out mechanism required by applicable law.

8. Payments

Online payments may be processed by a third-party payment processor under its own privacy notice and security practices. Vanguard may receive transaction identifiers, payment status, card type, expiration details or the last digits of a card, but does not intend to receive or store full payment-card numbers or card security codes.

9. Cookies and Similar Technologies

Our website and its providers may use cookies, pixels, local storage and similar technologies necessary for site operation, security, preferences, analytics, communications or measurement. Browser settings may allow you to block or delete cookies, but some features may not function properly. If we deploy technology that constitutes targeted advertising, a sale or sharing under applicable law, we will provide required notice and choices.

10. Data Retention

We retain personal information only as long as reasonably necessary to provide and document services, maintain business and tax records, administer warranties, resolve disputes, prevent fraud, enforce agreements and satisfy legal, insurance, safety and regulatory obligations. When information is no longer required, we take reasonable steps to delete, destroy or de-identify it.

11. Security

We maintain reasonable administrative, technical and physical safeguards designed to protect personal information. No system or transmission method is completely secure, and we cannot guarantee absolute security.

12. Your Privacy Choices and Rights

You may ask us to update contact information, change communication preferences or stop marketing. Depending on where you live and whether applicable law covers Vanguard or the processing at issue, you may also have rights to access, correct, delete or obtain a portable copy of certain information; opt out of certain sales, targeted advertising or profiling; and appeal a qualifying denial without unlawful discrimination.

To submit a request, use our contact form and write “Privacy Request” in the subject or message, or mail a request to the address below. We may take reasonable steps to verify your identity and authority.

Where the Tennessee Information Protection Act applies, Vanguard will respond to an authenticated request without undue delay and ordinarily within 45 days, subject to a permitted extension. To appeal a denial, submit a new request marked “Privacy Appeal.” These statutory rights apply only when the law’s scope and conditions are met.

13. Authorized Agents

Where permitted by law, an authorized agent may submit a request on your behalf. We may require proof of authorization and may ask you to verify your identity or confirm the request directly.

14. Children’s Privacy

Our website and services are intended for a general audience and are not directed to children under 13. We do not knowingly collect personal information online from a child under 13 without legally required parental notice and verifiable consent.

15. Third-Party Websites and Services

Our website may link to or integrate services operated by third parties, including payment, mapping, review, social-media, scheduling or communications providers. Their privacy practices are governed by their own notices.

16. Do Not Track

Some browsers transmit “Do Not Track” signals. Because there is no uniform industry response standard, our website may not respond to these signals. This does not affect a legally recognized opt-out signal we are required to honor.

17. Changes to This Policy

We may update this Policy to reflect changes in our practices, technologies, services or legal obligations. We will post the revised Policy with a new “Last updated” date and provide additional notice when required by law.
